Orders & Booking Process

Enquiries

Enquiries can be submitted through our online contact form. Please ensure the email address you provide is accurate and that you check your spam or junk folders for replies. Once you complete the initial order form, we will acknowledge receipt and send a link to book a Discovery Call.

Discovery Call

During the Discovery Call, we will confirm your requirements and discuss the details of your golf portrait commission. It is your responsibility to obtain any required permissions for photography on private golf courses.

Booking Confirmation

Following the Discovery Call:

  • A non-refundable 50% deposit invoice will be issued.

  • A photoshoot will take place at the chosen golf course, starting approximately 1 hour before tee time and continuing discreetly for the one or two holes of your choice.

  • Once the artwork is completed, you will receive a digital preview for approval.

  • The remaining 50% balance is payable after final approval, before delivery or shipment of the artwork.

Production & Delivery Timeline

Paintings are typically delivered within 3–4 months of the initial golf course meeting. Delivery is handled by a professional art shipping company based in Edinburgh.

Cancellations

You may cancel your booking up to 48 hours before the scheduled photoshoot. However, the initial 50% deposit remains non-refundable under all circumstances.

Payments

All invoices are payable via Stripe. Individual invoices will be sent to you via email following key stages of your booking (e.g. deposit, final balance including travel cost & delivery charges).

Please ensure that the email address you provide is correct and regularly monitored, including your spam folder.

No items will be delivered or shipped until full payment has been received.

All prices are in Pounds Sterling (£) and exclude delivery costs unless otherwise stated.

International customers are responsible for exchange fees and any import taxes.

Travel Expenses

Travel expenses for UK and Ireland commissions are charged at £0.45 per mile (return trip), calculated from our Fife base. Travel to Fife-based courses is free of charge. Additional charges may apply for destinations requiring flights, ferries, or overnight stays. These will be confirmed during your Discovery Call.

Delivery & Shipping

All artworks are professionally packaged and shipped using Pack & Send’s door-to-door worldwide service. Delivery costs are quoted based on the destination and added to your final invoice.

International shipments may be subject to customs duties or taxes, which are payable by the customer. The painting will be held in customs until the relevant fees are settled. Customers will be contacted via email and/or phone if action is required.

Artworks are shipped securely in a wooden crate with protective packaging. Insurance against loss or damage is available at an additional charge of £100, which must be added to the shipping cost.

Estimated Shipping Rates (subject to change):

  • Germany – £273.30

  • USA – £313.58

  • UK – £232.20 (additional £20 for remote areas)

  • Australia – £385.96

  • Republic of Ireland – £266.12

Returns & Damaged Products

All artwork is bespoke and made to order; as such, it is non-refundable and non-returnable.

If a product arrives damaged or defective (not due to your handling), we will replace or refund it, provided:

You notify us within 7 days of delivery.

The product is unused and returned in its original condition.

Refunds for approved returns will be processed within 30 days of receiving the returned item.

Entire Agreement

These Terms & Conditions constitute the full agreement between you and Golf Portraiture Scotland and supersede any prior agreements, written or oral. You acknowledge that you have not relied on any statements outside these Terms.

Governing Law & Jurisdiction

These Terms are governed by and construed in accordance with Scots law. Any disputes will be subject to the exclusive jurisdiction of the Scottish courts.
